Healthcare Business Books Cleanup The visit on its own line

Where the card is taken, one swipe pays for the visit and the bottle that left in the same minute. Those are still two charges, even when the machine printed one total.

Show the afternoon

What the afternoon actually contained

Picture a Tuesday that any clinic would recognize. Three people were seen. One of them also bought a bottle on the way out. The card machine produced one total. The day sheet, if anyone prints it, still knows the visit and the bottle were different. The books only know that if someone types them that way.

We treat the visit as the service. We treat the bottle as the product when a label says so. The card total is what the patient paid, and it is allowed to be the sum of those lines plus a tax amount the receipt named. It is not allowed to replace the lines. A single sales number hides which part of the afternoon was the work and which part was the shelf.

The worry is a month that looks finished while the visit and the product are still one number. A clinic in any state can have both in the same deposit. The state where the clinic sits publishes whether the visit is taxed and whether the product is exempt. We do not print that state's percent. We keep the lines so the percent, whatever it is this quarter, has something clean to land on.

When the paperwork is thin

Sometimes the day sheet is a printout and the shelf sale is a second tape, and sometimes both are a memory. If the bottle cannot be shown, we do not invent one. The unnamed part of the deposit waits. A waiting amount belongs on the balance sheet with a name that says it is still open, not in income, where it would make the visit look larger than the encounters support.

That waiting line has four ways out, and only those. A bill shows up and the amount is an ordinary cost. The owner moved personal money in, and the amount is equity. The cash belongs to another company the same owner runs, and both files have to show it. Or the papers reveal a card, a loan, or an account nobody had named yet, and we open that account and ask for its statements. Guessing a fifth way, just to finish the month, is how a cleanup has to be done over.

What you can check yourself

Take one afternoon. List the encounters. List anything that left in a bag. List the card total and any fee the processor kept. If the encounters plus the bags plus the tax on the receipt, minus the fee, do not equal the deposit, the month is not ready to be called closed. The size of the gap matters less than the fact of it.

Bring that one afternoon if you want a second pair of eyes. We will say whether the visit and the shelf are already apart, or whether the deposit is still one number. We will not rebuild a year from a single Tuesday, and we will not pretend a missing tape is a product cost.
