Healthcare Business Books Cleanup What a clean month contains

Closed means the cash matches, the visit and the shelf are apart, and nothing important is waiting under a vague name.

Show the month

The list, in the order we actually use

First the bank, the cards, and any loan, tied to the statements, with outstanding items listed rather than forced to zero. Second the day sheet against the visits in the books, and the shelf sales against the products. Third the processor report, so the fee is a cost and the net deposit is not mistaken for income. Fourth the payroll company's report against wages, taxes, and the cash that funded them. Fifth the waiting lines, the amounts nobody could name yet. A month with a beautiful profit and a waiting line still full is not closed.

The chart of accounts should already know these buckets: visits, products, refunds, processor fees, wages, and amounts collected that still have to be sent on. Renaming accounts every month so the report "looks right" destroys the comparison to last year. Build the chart around how the clinic really earns, then leave it alone.

A holding line is a promise to finish

During a cleanup, money that looks like it might belong on the balance sheet, but has no paper yet, waits under a name that says it is open. That is a queue, not a hiding place. Every waiting amount ends as an ordinary cost once a bill appears, as an owner transfer, as a movement between two companies the owner runs, or as a real account we did not know about. It does not end as a silent journal entry on the last day of the month.

Owner money coming in is the one people most want to call revenue, because the bank went up. If it was the owner, it is equity. Calling it visits makes the year look stronger than the encounters, and the return starts from that story. We would rather show a smaller, true month.

Hours in a health practice, said narrowly

Publication 925 lists health as a personal service activity. Material participation can be more than 500 hours in the year, or material participation in that personal service activity for any three prior tax years. This page states those two paths and stops. A clinic owner who also runs another company should not assume the clinic hours count toward the other company, or the reverse. We do not run that test from a web form. We can say, on a call, which records would be needed before anyone relied on it.

The year test is not a reason to leave a month untied. Participation is a year question. The deposit is a month question. Mixing them is how a December scramble starts in July.
